How Profit AI Vertex Pte. Ltd. collects, uses, and protects your personal data.
Contents
1. Introduction
Profit AI Vertex Pte. Ltd. ("Profit AI Vertex", "we", "us", or "our") respects your privacy and is committed to protecting personal data in accordance with the Personal Data Protection Act 2012 of Singapore ("PDPA") and its subsidiary legislation as in force in 2026. This Privacy Policy explains what information we collect when you visit profitaivertex.life, enrol in profit sprints or earning labs, communicate with us, or otherwise interact with our services.
By submitting personal data through our website forms, enrolment processes, or email correspondence, you acknowledge that you have read this Privacy Policy. Where consent is required under the PDPA, we will obtain it through an affirmative opt-in mechanism — for example, the unchecked consent checkbox on our contact form. We do not rely on pre-ticked boxes or implied consent for sensitive processing activities.
This policy applies to all personal data processed by Profit AI Vertex in connection with our training programmes, corporate services, website operations, and administrative functions. It does not apply to third-party websites linked from our pages, including AI tool providers such as OpenAI, Anthropic, Google, or Microsoft, which maintain their own privacy terms.
2. Data controller
The data controller responsible for your personal data is Profit AI Vertex Pte. Ltd., UEN 202952684K, registered at 1 Scotts Road, #21-11 Shaw Centre, Singapore 228208. For privacy-related enquiries, contact us at [email protected] with the subject line "Privacy Enquiry" or write to the registered address marked "Data Protection".
We have designated an internal data protection coordinator who oversees compliance with the PDPA, responds to access requests, and liaises with the Personal Data Protection Commission where required. The coordinator's contact details are the same as above.
3. Personal data we collect
We collect personal data that you voluntarily provide and data generated through your use of our services:
3.1 Information you provide directly
- Identity and contact data: full name, email address, phone number, company name, job title, and mailing address when you submit contact forms, enrolment applications, or corporate training requests.
- Communication content: messages, questions, and attachments you send via email or web forms.
- Enrolment data: sprint track selection, dietary or accessibility requirements, billing contact details, and employer sponsorship information.
- Payment-related data: transaction references and invoicing details. We do not store full credit card numbers on our servers; payments are processed by third-party payment gateways subject to PCI-DSS standards.
- Session materials: workflow documents, prompt libraries, and capstone presentations you create during training, which may contain personal or client information you choose to include.
3.2 Information collected automatically
- Technical data: IP address, browser type and version, operating system, device identifiers, referring URL, and pages viewed on profitaivertex.life.
- Cookie data: as described in our Cookie Policy, including essential session cookies and optional analytics identifiers if you accept cookies.
- Server logs: timestamps, request methods, and error codes retained for security monitoring and troubleshooting.
3.3 Information from third parties
We may receive contact details from corporate clients who nominate employees for training, or from event partners who collect registrations on our behalf under shared data processing agreements. We verify that such third parties have obtained appropriate consent or have another lawful basis before transferring data to us.
4. Purposes of collection, use, and disclosure
We collect and use personal data only for purposes that a reasonable person would consider appropriate in the circumstances, and not beyond what you would expect. Primary purposes include:
- Responding to enquiries submitted through contact forms or email.
- Processing enrolments, issuing invoices, and administering profit sprint and earning lab cohorts.
- Delivering training sessions, providing coaching desk feedback, and issuing completion certificates.
- Sending operational communications such as schedule changes, pre-work materials, and post-session surveys.
- Maintaining alumni channels for graduates who opt in to ongoing updates.
- Improving our curriculum based on anonymised aggregate feedback.
- Complying with legal obligations, including tax record-keeping and responding to lawful requests from authorities.
- Protecting our rights, preventing fraud, and ensuring website security.
We will not use your personal data for direct marketing unless you have given or is deemed to have given consent under the PDPA, and we provide a clear unsubscribe mechanism in every marketing message. Training-related operational emails are not considered direct marketing.
5. Legal basis for processing
Under the PDPA, we rely on one or more of the following bases depending on context:
- Consent: for contact form submissions, optional marketing, and optional analytics cookies.
- Contractual necessity: to perform our training agreement with enrolled participants or corporate clients.
- Legitimate interests: for website security, fraud prevention, and internal reporting, balanced against your privacy rights.
- Legal obligation: for tax, accounting, and regulatory compliance.
Where we rely on consent, you may withdraw it at any time by contacting us. Withdrawal does not affect the lawfulness of processing before withdrawal, and may limit our ability to provide certain services — for example, we cannot respond to a contact enquiry without a valid email address.
6. Disclosure to third parties
We do not sell, rent, or trade your personal data. We may disclose personal data to:
- Service providers: email hosting, cloud storage, payment processors, video conferencing platforms, and analytics providers (only if you accept cookies), bound by confidentiality and data processing terms.
- Corporate clients: where your employer sponsors your enrolment, we may share attendance and completion status with the designated HR or L&D contact.
- Professional advisers: lawyers, accountants, or auditors under duty of confidentiality.
- Authorities: when required by law, court order, or to protect vital interests.
We require third-party processors to implement appropriate security measures and process data only on our documented instructions. A list of key sub-processors is available on request.
7. Cross-border data transfers
Some service providers may store or process data outside Singapore, including in the United States, European Union, or other jurisdictions. Where personal data is transferred overseas, we ensure that the recipient country provides a comparable standard of protection, or we implement contractual clauses, binding corporate rules, or other PDPA-permitted safeguards before transfer occurs.
When you use third-party AI tools during training sessions — ChatGPT, Claude, Gemini, or Copilot — your prompts may be processed on servers operated by those vendors under their respective terms. We instruct participants not to submit confidential client data or personal identifiers into public AI interfaces without appropriate anonymisation and client authorisation.
8. Data retention
We retain personal data only as long as necessary for the purposes collected, or as required by law:
- Contact form submissions: twenty-four months from last interaction, unless an enquiry converts to enrolment.
- Enrolment and billing records: seven years from transaction date for tax compliance.
- Training materials containing participant work: twelve months after sprint completion, then deleted or anonymised unless you request earlier deletion.
- Server logs: ninety days unless required for security investigation.
- Marketing consent records: duration of consent plus three years for audit purposes.
When retention periods expire, we securely delete or irreversibly anonymise personal data. Anonymised aggregate statistics may be retained indefinitely for curriculum improvement.
9. Security measures
We implement administrative, technical, and physical safeguards appropriate to the sensitivity of data processed:
- TLS encryption for data in transit on profitaivertex.life.
- Access controls limiting personal data to staff with legitimate need.
- Password policies and multi-factor authentication on administrative systems.
- Regular review of sub-processor security practices.
- Physical security at our Shaw Centre premises for printed materials.
No transmission over the internet is completely secure. While we strive to protect your data, we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of any account credentials we issue and for exercising caution when sharing work materials in AI tools.
In the event of a data breach likely to result in significant harm, we will notify the Personal Data Protection Commission and affected individuals as required under the PDPA.
10. Your rights under the PDPA
Subject to exceptions in the PDPA, you have the right to:
- Access: request confirmation of whether we hold your personal data and obtain a copy.
- Correction: request correction of inaccurate or incomplete data.
- Withdraw consent: where processing is consent-based, withdraw consent at any time.
- Data portability: receive certain data in a commonly used machine-readable format where technically feasible.
To exercise these rights, email [email protected] with sufficient detail to verify your identity. We respond within thirty days unless an extension is permitted. We may charge a reasonable fee for manifestly unfounded or excessive requests.
If you believe we have not handled your personal data appropriately, you may lodge a complaint with the Personal Data Protection Commission of Singapore after first giving us an opportunity to resolve the matter.
11. Cookies and similar technologies
Our website uses cookies as described in our Cookie Policy. Essential cookies operate regardless of consent. Analytics cookies are placed only after you click "Accept" on our cookie banner. You may change preferences by clearing browser cookies and revisiting the site.
12. Minors
Our services are directed at working professionals aged eighteen and above. We do not knowingly collect personal data from individuals under eighteen without parental or guardian consent. If you believe we have collected data from a minor, contact us and we will delete it promptly.
13. Changes to this policy
We may update this Privacy Policy to reflect changes in law, technology, or our practices. Material changes will be posted on this page with an updated "Last updated" date. Where changes significantly affect how we use previously collected data, we will seek fresh consent where required. Continued use of our services after non-material updates constitutes acceptance of the revised policy.
